E-Mail Etiquette
The rules of email Etiquette are not "rules" in the sense that they are REQUIRED by email servers. They are guidelines that help avoid mistakes and misunderstandings.
These rules of email Etiquette will help you communicate better and safer via email.
1. Do NOT send an email with a virus.
Everyone should have a good anitvirus program, such as Avast or AVG.
2. Do NOT leave addresses in message or header of ANY email message.
This is not necessary and is easy to take care of. When you forward an email, highlight the addresses in the message and hit the keyboard Delete key.
Note that you may have to highlight and delete one group of addresses at a time.
NOTE: You can also highlight and delete any part(s) of the message you don't want to send.
3. Addressing ALL E-Mail messages.
Most people click on an address and put it in the "TO:" block.
This would be fine if we are sending to only one person, but we usually send or forward jokes or intersting messages to many people.
When sending to a group of people, the group should ALWAYS be put in the "BCC" (Blind Carbon Copy) block.
In any list you can click on the first address then hold the CTRL key down and select/unselect any other address.
This highlights the addresses which you should then place in the BCC block.
4. Only QUOTE original messages as required.
Most email messages do not require that the original message be sent back to the sender.
5. Clean Up Emails Before sending Them.
One method of deleting >>> from emails is to Copy & Paste the email to Notepad, then click on Edit/Replace and type > in the Find What: area and nothing in the Replace With: area. Then click Replace All. Now Copy the Paste into a new email.
Of course you can't do that when emails have pictures.
6. .Writing in All Caps is Like Shouting
Don't shout in your emails, unless you are really upset. Besides all caps is so difficult to read.
7. Please DO Not use Smileys.
They are cute and all, but unless you are emailing children, they are not necessary
8. Big Attachments.
Before sending Large attachments, it would be polite to ask individuals if they would like to recieve this type of attachment.
